Privacy Policy
The Association for Japanese Language Capability Test (hereinafter referred to as “the Association”) recognizes its social responsibility to appropriately protect and manage personal information. As such, the Association is committed to complying with the Personal Information Protection Law and has established the following policy for the proper handling of personal information.
- Basic Policy Regarding the Handling of Personal Information

- When collecting personal information, the Association will first specify the purpose of use and, within the scope necessary to achieve that purpose, collect the information through lawful and appropriate means with the consent of the individual.
- When using collected personal information, the Association will take appropriate and sufficient measures to prevent its use for purposes other than those specified.
- In cases where the Association entrusts or is entrusted with operations involving the processing of personal information, the confidentiality of personal information will be maintained, and appropriate measures regarding the return and deletion of personal information upon contract termination will be implemented.
- The provision of personal information to third parties will only occur with the consent of the individual.
- Purposes of Use of Personal Information
- The personal information obtained by the Association may be used for the following purposes:
- To ensure the fair and smooth implementation, evaluation, and grading of examinations conducted by the Association, as well as to manage operations, issue result notifications, and provide certificates of passing.
- To create and analyze statistical data related to the Association’s examinations and services.
- To provide information about the Association’s examinations and services.
- To conduct marketing activities and surveys related to the Association’s businesses and services.
- To respond to inquiries.
- To prevent and address fraudulent activities in order to ensure the fair and proper conduct of examinations administered by the Association.
- To provide information and send publications from the Association.
- To develop and operate systems and other services that contribute to achieving the purposes mentioned above.
- To pursue purposes incidental to the aforementioned uses.
- Provision to Third Parties
- The Association will not provide personal information to third parties except in the following cases:
- With the individual’s consent.
- When required by law.
- When it is necessary to protect a person’s life, body, or property, and obtaining consent is difficult.
- When it is particularly necessary for public health improvement or the sound development of children, and obtaining consent is difficult.
- When it is necessary for a national agency, local government, or their designee to carry out legally required duties, and obtaining consent would interfere with such duties.
- When the third party is an academic research institution, and it is necessary for the institution to handle personal data for academic research purposes, including cases where part of the purpose of handling the personal data is for academic research (except when such handling is likely to unreasonably infringe upon individual rights and interests).
- Outsourcing
- Within the scope necessary to achieve the purposes of use, the Association may entrust the processing of personal information to external vendors with which it has a contractual relationship.
- Collection of Personal Information via Non-Easily Recognizable Means
- To improve services, the Association analyzes visit history to its website using Google Analytics, a service provided by Google. Visit history information analyzed through Google Analytics includes a number assigned at the time of the visit, visit date and time, visited pages, and a number assigned at the time of an inquiry. However, this information does not include any personal information that can identify individuals, such as names or IP addresses.
Additionally, cookies are used to collect browsing information, but you can refuse the collection by disabling cookies. - Response to Requests for Disclosure, Correction, Suspension of Use, etc.
- If the Association receives a request from an individual regarding the notification of the purpose of use, disclosure, correction, addition, or deletion of personal information, suspension of use, or suspension of provision to third parties (“disclosure, etc.”), the Association will respect the individual’s wishes and respond appropriately and without delay. (Please note that if personal information is essential for certain services, correction, updating, or deletion of personal information may result in the inability to use some or all of the services.)
